1. General Agreement
By accessing our website and/or making a booking with our travel agency, you acknowledge that you have read, understood, and agreed to these Terms & Conditions. These terms apply to all bookings made through our agency, including flights, hotels, packages, tours, and related travel services.
2. Travel Documentation & Entry Requirements
It is the sole responsibility of each traveler to ensure they possess valid travel documents and meet all entry requirements for their destination(s).
Passports must be valid for at least six (6) months beyond the date of return, as required by many countries.
- All required visas, transit visas, permits, and travel authorizations must be obtained prior to departure.
- Travelers visiting multiple countries must verify entry and transit requirements for each destination.
- Minors traveling with one parent or guardian may require a notarized consent letter from the non-traveling parent/legal guardian, along with additional documents such as birth certificates or custody papers.
- Certain destinations may require proof of onward/return travel, accommodation details, travel insurance, vaccination certificates, or proof of sufficient funds.
- Entry requirements may change without notice. Travelers must verify the latest requirements with the relevant embassy or consulate before travel.
The agency is not responsible for denied boarding, refusal of entry, or any costs incurred due to improper, invalid, or incomplete documentation.
3. Pricing, Fees & Payments
3.1 Price Changes
Prices are subject to change until full payment is received. Once full payment is made, no price increases will apply. If a price increase exceeds 7% (excluding taxes such as GST/HST/PST), the client may cancel and receive a full refund.
3.2 Payment Disputes & Chargebacks
In the event of a chargeback or payment dispute, the agency reserves the right to recover administrative, processing, and legal costs associated with the dispute.
4. Cancellation, Changes & Penalties
4.1 Cancellations
All cancellations are subject to supplier rules (airlines, hotels, cruise lines, tour operators). Fees may range from partial to 100% of the total booking amount depending on timing and fare conditions.
4.2 No-Show Policy
Failure to check in or attend any part of the booking (flight, hotel, tour, transfer) will result in 100% forfeiture of the booking.
4.3 Supplier Penalties
All supplier-imposed penalties are the responsibility of the client and will be passed on in full.
4.4 Airline Changes & Modifications
Changes such as date adjustments, name corrections, or itinerary modifications are subject to airline rules. Additional airline penalties, fare differences, and a service fee of CAD $200 per ticket will apply.
4.5 Non-Refundable Bookings
Certain fares, promotional deals, deposits, and packages may be strictly non-refundable and non-changeable once confirmed.
5. Flights & Baggage Responsibility
Passengers are responsible for:
- Arriving at the airport on time (2–3 hours for domestic flights, 3+ hours for international flights)
- Checking flight schedules at least 24 hours prior to departure
- Ensuring all travel documents are valid and accessible
- Complying with airline baggage allowances and fees
- Ensuring passenger names match government-issued identification exactly
The agency is not responsible for airline delays, cancellations, schedule changes, denied boarding, or baggage loss/damage.
In the event of airline disruption, the best available alternative will be provided where possible. If a client declines an alternative and books independently, the agency is not liable for reimbursement of additional costs.
6. Travel Insurance
We strongly recommend all travelers purchase comprehensive travel and medical insurance. Coverage should include trip cancellation, medical emergencies, emergency evacuation, baggage loss, and other unforeseen circumstances.
The agency does not provide insurance and is not responsible for any losses due to lack of coverage.
7. Special Requests & Third-Party Services
7.1 Airline & Airport Services
Special requests such as wheelchair assistance, meals, seat preferences,bassinets, pet travel, unaccompanied minors, sports equipment, or medical assistance are subject to airline approval and availability. We do not guarantee confirmation of such services.
7.2 Hotel Accommodation
Hotel room types, bedding configurations, views, and special requests are subject to availability at check-in. Hotels may substitute room categories or modify allocations without notice. Additional charges are the responsibility of the guest unless otherwise confirmed in writing.
7.3 Packages & Land Services
All package components (flights, hotels, transfers, tours, meals, etc.) are subject to supplier availability. The agency acts as an intermediary and is not responsible for modifications, cancellations, delays, or substitutions by third-party providers.
8. Refunds & Processing Times
- Refund processing times vary by airline and supplier, typically ranging from 30–60 days.
- Credit card refunds, once approved, may take up to 15 business days to process and up to two billing cycles to appear on statements.
- The agency does not control airline refund approvals or timelines.
8.1 Voluntary Cancellations
Voluntary cancellations are generally non-refundable unless permitted under supplier fare rules.
Refunds may only be considered in exceptional cases such as:
- Airline schedule change exceeding 24 hours
- Verified medical emergency (with documentation)
- Visa denial (with official refusal letter)
All refunds are subject to airline approval and applicable penalties and fees.
9. Force Majeure
The agency is not liable for delays, cancellations, or changes caused by events beyond its control, including but not limited to natural disasters, pandemics, government restrictions, strikes, war, or airline operational disruptions.
10. Limitation of Liability
The agency acts as an intermediary between the client and third-party service providers. We are not responsible for acts, errors, omissions, delays, or negligence of airlines, hotels, tour operators, or other suppliers.
Our liability is strictly limited to the value of the service booked through our agency.
11. Acceptance of Terms
By completing a booking or making payment, the client confirms acceptance of these Terms & Conditions in full.
